These Terms and Conditions ("Terms") govern your use of the BillRaja application ("App"), available on Android, iOS, and Web. By downloading, installing, or using the App, you agree to be bound by these Terms. If you do not agree, do not use the App.
BillRaja is a business management platform designed for Indian small businesses — providing billing, invoicing, employee attendance tracking, team management, membership management, inventory tracking, purchase orders, GST compliance, and business reporting.
1. Eligibility
You must be at least 18 years of age to use this App.
You must be a legitimate business owner, authorized representative, or authorized team member.
You must use a valid Google account or a valid phone number to sign in.
By using the App, you represent that all information you provide is accurate, current, and complete.
2. Account & Authentication
You may sign in using Google Sign-In or phone number verification (OTP).
BillRaja enforces single active session per account — signing in on a new device will revoke access on the previous device.
You are responsible for maintaining the security of the device, account, and credentials used to access the App.
You are responsible for all activities that occur under your account.
You must notify us immediately of any unauthorized use of your account.
We reserve the right to suspend or terminate accounts that violate these Terms.
3. Subscription Plans & Payments
BillRaja offers a free trial, free plan, and paid plans. Current plans include Free, Pro, and Enterprise tiers. The latest pricing, feature set, and billing terms are shown inside the app and on our pricing page.
Trial:
Every new account receives a free trial with access to all Enterprise features.
Trial duration is configurable and currently set to 3 months.
After the trial ends, your account moves to the Free plan unless you upgrade.
No credit card is required for the trial.
Payment Terms:
Paid subscriptions are billed monthly or annually through Google Play Billing on Android.
Prices are in Indian Rupees (INR) and include applicable GST.
Subscriptions auto-renew unless cancelled before the renewal date.
You can cancel your subscription at any time from the App.
A 7-day grace period is provided if a payment fails, during which your plan remains active.
Upon cancellation, you retain access until the end of the current billing period.
Deleting your account may cancel any active subscription associated with it.
No refunds are provided for partial billing periods.
We reserve the right to change pricing with reasonable advance notice.
4. Team Workspaces & Collaboration
Team owners are responsible for managing their team members, roles, and permissions.
Team roles (Owner, Manager, Staff) define what actions each member can perform within the workspace.
Team owners can set per-member permission overrides for granular access control.
Business data created within a team workspace (invoices, customers, products) is shared among team members based on their assigned permissions.
Team owners are responsible for the actions of their team members within the workspace.
If a team member is removed or leaves, their access to workspace data is immediately revoked.
Team member limits depend on your subscription plan (Pro: up to 3 members, Enterprise: unlimited).
5. Employee Attendance
The attendance feature (QR check-in and geo-fenced attendance) is available on Enterprise plans.
GPS location data is collected only during active check-in and check-out — never in the background.
Attendance records are visible to team owners and managers for verification purposes.
By using the attendance feature, team members consent to their check-in location and timestamps being recorded and visible to their team owner/manager.
Team owners are responsible for informing their team members about attendance tracking policies.
6. Membership Management
BillRaja allows you to create and manage membership plans for your business (gyms, clubs, coaching centres, etc.).
You are responsible for the accuracy of membership plan details, pricing, and renewal terms you configure.
Membership invoices generated through BillRaja are your responsibility to verify and comply with applicable tax laws.
BillRaja is a tool to help manage memberships — it does not constitute a contractual relationship between you and your members.
7. AI-Powered Features
BillRaja includes AI-powered features (Business Chat and Team Insights) that use Google's Gemini AI to analyze your business data and provide insights.
AI features are provided "as is" for informational purposes only.
AI-generated responses may contain inaccuracies, incomplete information, or errors. You must independently verify all AI-generated insights before making business decisions.
AI insights are NOT a substitute for professional financial, accounting, legal, or tax advice.
You should NOT rely solely on AI-generated data for GST filing, tax returns, financial reporting, or legal compliance.
We do not guarantee the accuracy, completeness, or reliability of AI-generated content.
By using AI features, you acknowledge that your business data (invoices, customers, products, payments) is processed by Google's Gemini AI service, subject to Google's terms of service.
We reserve the right to modify, limit, or discontinue AI features at any time.
You agree not to use AI features to generate misleading, fraudulent, or deceptive business communications.
8. Customer Bill Viewing Portal
BillRaja allows your business customers to view their invoices through a secure OTP-verified portal.
Business Owner Responsibilities:
You are solely responsible for the accuracy and legality of invoices displayed to your customers.
You must have a legitimate business relationship with the customer whose phone number is associated with the invoice.
You are responsible for informing your customers that their invoice is accessible through BillRaja's portal.
End-Customer Terms:
By entering their phone number and verifying via OTP, end-customers agree to these terms for the purpose of viewing invoices.
End-customers receive read-only access to invoices associated with their phone number.
End-customers may not attempt to access invoices belonging to other customers or manipulate the OTP verification process.
OTP sessions expire after a limited time for security purposes.
Disputes:
BillRaja is a platform that facilitates invoice viewing. Any disputes about invoice amounts, charges, or payments are solely between the business owner and their customer. BillRaja is not a party to any transaction between you and your customers.
9. Acceptable Use
You agree NOT to:
Use the App for any illegal or fraudulent purpose.
Generate false, misleading, or fraudulent invoices.
Attempt to gain unauthorized access to other users' or teams' data.
Reverse engineer, decompile, or disassemble the App.
Use automated scripts, bots, or scrapers to access the App.
Transmit viruses, malware, or other harmful code.
Use the App in any way that could damage, disable, or impair the service.
Misuse team permissions to access data beyond your authorized role.
Violate any applicable local, state, national, or international law.
10. Your Data & Content
You retain full ownership of all business data, invoices, customer records, products, membership plans, and content you create within the App.
You grant us a limited license to store, process, and display your data solely for the purpose of providing the App's services.
You are solely responsible for the accuracy of your business information, GST details, invoices, attendance settings, and financial records.
You are responsible for complying with all applicable tax laws and regulations, including GST filing requirements.
BillRaja is a tool to assist with business operations — it is NOT a substitute for professional accounting, legal, or HR advice.
11. GST & Tax Compliance
BillRaja provides GST calculation, reporting, and GSTR-3B data as convenience tools.
We do NOT guarantee the accuracy of GST calculations for your specific business scenario.
You are solely responsible for verifying tax calculations, filing GST returns, and maintaining compliance with Indian tax authorities.
BillRaja is not a registered tax consultant or chartered accountant service.
We recommend consulting a qualified CA/tax professional for tax-related decisions.
12. Invoice & Payment Link Sharing
When you share invoices via WhatsApp, SMS, email, PDF, or public links, you do so at your own discretion.
Shared invoice links contain your business name, invoice details, and payment information that you choose to include.
We are not responsible for the delivery, receipt, or handling of invoices once shared through third-party platforms.
UPI payment links and QR codes embedded in invoices facilitate payment collection but BillRaja does not process or hold payments.
You must ensure that you have proper consent to share business information with your customers.
13. Service Availability
We strive to provide uninterrupted service but do not guarantee 100% uptime.
The App includes offline functionality for core billing features. Some features (team sync, payments, reports) require internet.
We may enable maintenance mode or force-update screens via Remote Config when necessary.
We may perform maintenance, updates, or upgrades that temporarily affect availability.
We are not liable for any loss arising from service interruptions.
14. Intellectual Property
The BillRaja name, logo, design, and all associated intellectual property are owned by us.
You may not copy, modify, distribute, or create derivative works based on the App without our written permission.
All PDF invoice templates, UI designs, and digital business card themes are our proprietary property.
15. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
BillRaja is provided "AS IS" and "AS AVAILABLE" without warranties of any kind.
We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App.
We are not liable for any financial loss, tax penalties, or legal consequences resulting from inaccurate invoices, GST calculations, or attendance records.
We are not liable for any decisions made based on AI-generated insights, recommendations, or business advice provided through the app's AI features.
We are not liable for any disputes between business owners and their customers arising from invoice viewing through the OTP portal.
We are not liable for any disputes between team owners and team members regarding attendance, permissions, or workspace data.
Our total liability shall not exceed the amount you paid for the App in the 12 months preceding the claim.
We are not responsible for any loss of data due to device failure, network issues, or circumstances beyond our control.
16. Indemnification
You agree to indemnify and hold harmless BillRaja, its owners, employees, and affiliates from any claims, losses, damages, liabilities, and expenses (including legal fees) arising from:
Your use or misuse of the App.
Your violation of these Terms.
Inaccurate business information, invoices, tax filings, or attendance records you generate.
Any dispute between you and your customers, team members, or members.
Misuse of team permissions or attendance data.
17. Termination
You may stop using the App and delete your account at any time from Settings.
We may suspend or terminate your account if you violate these Terms.
Upon termination, your right to use the App ceases immediately.
If you are a team owner, termination affects your entire team workspace.
Certain payment, tax, or compliance records may be retained where required by law.
Sections on Limitation of Liability, Indemnification, and Governing Law survive termination.
18. Governing Law & Dispute Resolution
These Terms are governed by the laws of India.
Any disputes shall be subject to the exclusive jurisdiction of courts in India.
Before initiating legal proceedings, both parties agree to attempt resolution through good-faith negotiation.
19. Changes to These Terms
We may update these Terms from time to time. Material changes will be notified through the App. Continued use after changes constitutes acceptance of the updated Terms. If you disagree with any changes, you must stop using the App.
